Add unavailable dates or times when your usual hours should not be bookable—for example, a holiday, vacation, or afternoon appointment. Where: Scheduling → Setup → Availability → open a template → Specific Dates.

Check which schedulers are affected

Unavailable periods belong to the availability you edit. Check which schedulers use that template before changing it. Repeat for other templates if the closure should affect them too. If only one service is stopping, consider its scheduler’s date range or active status instead of closing hours shared by other services.

Add the unavailable period

  1. Open the availability template and its Specific Dates section.
  2. Choose Add date and set Type to Unavailability.
  3. Enter the start and end date/time. For a partial-day closure, enter only the period you need to block.
  4. Review the interval, choose Done, then Update to save the template.
Specific dates used to block unavailable time
Check the scheduler’s booking preview on the blocked date. For a partial day, check the surrounding hours too; session duration and buffers affect whether nearby slots still fit.

Handle existing bookings separately

A blackout prevents new bookings. It does not cancel or move athletes who already booked. After saving the unavailable period:
  1. Open Scheduling → Calendar and check the affected dates.
  2. Use Move Session to move an entire occurrence, or Cancel Session to close it and cancel every participant.
  3. For one athlete only, open that athlete’s booking instead.
  4. Review credit refunds and notification choices before confirming.
Follow Move a session or Cancel a booking or session. Do not tell families their session or payment was refunded until the corresponding action is complete.

Reopen time

Edit or remove the unavailable entry and save the template. The normal weekly hours and scheduler rules determine what becomes bookable again. Removing the blackout does not restore canceled bookings.

If the closure does not appear

Check that you edited the connected template, saved the correct date/time range, and included every template that should be closed. Also check the scheduler’s additional availability blocks. For a permanent change in hours, edit weekly availability. For a planned seasonal switch, use start and end dates on availability blocks.
